Purpose:
These guidelines define the standards, procedures, and legal requirements for all stakeholders (trade associations, event organizers, exhibitors, sponsors, media agencies, vendors, service providers) to advertise on the Exhibitions Insights platform. The goal is to ensure high-quality, brand-safe, and compliant advertising for exhibitions, trade fairs, and conferences, while maximizing engagement and ROI.

1. Eligibility & Partnership Requirements

  • Only registered stakeholders or verified businesses are allowed to advertise.
  • Advertisers must provide valid legal, business, and tax registration information.
  • Advertisers must comply with:

           o Information Technology Act, 2000 &  IT Rules, 2011
           o Consumer Protection Act, 2019
           o Copyright Act, 1957
           o Advertising Standards Council of India (ASCI) Guidelines
           o International advertising standards for global campaigns

  • False, misleading, or deceptive advertisements are strictly prohibited.

2. Acceptable Advertising Content

  • Event announcements, exhibitions, conferences, and trade fair promotions
  • Brand stories, product launches, and service updates
  • Educational content, webinars, and thought-leadership campaigns
  • High-quality images, graphics, videos, and infographics
  • Promotional offers and discounts with clear terms
  • Misleading claims or false endorsements
  • Political, religious, or offensive content
  • Adult or obscene content
  • Violating intellectual property or copyright
  • Content violating Indian laws, global regulations, or platform ethics

Notes:

  • File size must not exceed 2 MB for images.
  • Videos must be HD quality, under 2 minutes.
  • Mobile-responsive formats are recommended.

4. Advertisement Submission & Approval

  • Advertisers must submit creatives at least 15 business days before campaign launch.
  • All content undergoes review by Exhibitions Insights for:

            o Legal compliance
            o Brand safety
            o Technical quality & resolution

  • Approval or rejection notifications will be provided within 2 business days.
  • Revisions: Advertisers must make necessary edits if content violates guidelines.

5. Legal Compliance & Disclaimers

  • All ads must comply with:

        o IT Act, 2000 (online content regulations)
        o Consumer Protection Act, 2019 (truthful advertising)
        o Copyright Act, 1957 (IP compliance)
        o ASCI advertising code (no misleading claims, clear disclaimers)

  • Exhibitions Insights is not responsible for third-party copyright violations.
  • Advertisers must indemnify Exhibitions Insights from any legal claims  related to their content.
  • For global campaigns, advertisers must ensure compliance with local international advertising regulations.

6. Payment & Billing Terms

  • Advertisers receive an invoice prior to campaign start.
  • Payment due: within 30 days of invoice or as per agreed contract.
  • Accepted modes: Bank transfer, online payments, or mutually agreed payment methods.
  • Late payments may attract [X]% interest per month, in accordance with Indian
    financial regulations. It will be mutual discussion between partners.

7. Refund & Cancellation Policy

  • Campaign cancellation must be requested before campaign start date.
  • Free trial or complimentary campaigns are non-refundable.
  • Refunds are only applicable if:

        o Advertisements were not delivered as agreed
        o Technical failures prevented display

  • Partial refunds may be pro-rated based on services delivered.

8. Reporting & Analytics

  • Advertisers receive campaign performance reports:

          o Impressions & reach
          o Click-through rates (CTR) 
          o Leads generated (if applicable)

  • Reports help optimize future campaigns and ROI.

9. Confidentiality & Privacy

  • All advertiser data is kept confidential.
  • Campaigns and billing details are not shared with third parties.
  • Compliance with Indian IT Act, GDPR (for global advertisers), and privacy regulations is ensured.

10. Termination of Advertisement

  • Exhibitions Insights reserves the right to suspend or remove ads that:

        o Violate guidelines or laws
        o Are misleading or harmful to users
        o Breach ethical or platform standards

11. Miscellaneous Guidelines

  • All content must be SEO-friendly, brand-focused, and original.
  • Advertisers may collaborate on co-branded campaigns for mutual visibility.
  • Platform reserves the right to edit or adjust ad placement for optimal user experience.
